How do I get technical support for the mobile client or web server?

You can reach our Customer Support team via the Live Chat feature in the mobile app or on the web.
You can also email us at support@imfuna.com.

What if I do not have network connectivity at a property inspection while I'm using the app?

Not a problem. You do not need a connection to collect data with Imfuna. In the Imfuna app settings, turn off ‘Auto-send’ to preserve battery life – but don’t forget to turn it back on when you want to send your inspections!

Which devices can I use Imfuna on, and what are the best options for myself or my staff?
Imfuna is compatible with both Apple and Android devices that meet the minimum requirements outlined below. To ensure smooth performance, accurate geolocation, and high-quality photo capture, we recommend using devices that meet or exceed these specifications.
Recommended Device Specifications:

  • iOS 13 or later
  • Minimum 64 GB internal storage

Example: Any iPhone 11 onward will technically run Imfuna, but we recommend starting with the more recent models for better battery and camera quality.
 
Why it matters: Older phones may experience slower performance, weaker battery life, and lower camera quality, but they remain functional if budget is constrained.

Example: Any Android phone from 2018 onward that shipped with Android 7.0 or higher and has at least 2 GB RAM + 64 GB storage can run Imfuna, though performance improves significantly with 3–4 GB RAM and newer processors.

Why it matters: Older phones may experience slower performance, weaker battery life, and lower camera quality, but they remain functional if budget is constrained.

Selecting devices that meet or surpass these specs will provide your team with the best combination of performance, image quality, and battery life.
 
How much data is needed to send an inspection? Will my phone data plan cope?

This depends on how much data and how many photos you are trying to send. Imfuna sends your inspection data while you work, as long as the app is open and ‘Auto-send’ is On. If you don't want to use your phone's data plan to send your Imfuna data while in the field, switch your ‘Auto-send’ setting to Off while you work. When you have a wi-fi connection, open the app and turn ‘Auto-send’ back On. Note that on Apple devices, inspections only send when the app is open so it needs to stay open for the duration of the upload process.

Why hasn’t my inspection been sent to the web?

Check that your mobile device is connected to the internet, and that ‘Auto-Send’ is ‘On’ in your Imfuna app Settings. Sometimes sending may be interrupted. You can reboot the send by pressing the ‘Re-send’ double arrowed button next to your inspection on the app.

What does ‘Reinspect’ do?

The Reinspect feature lets you reuse data from a previous inspection to speed up repeat visits.

  • Download any past inspection from your Imfuna cloud account back to your mobile device.

  • When reinspecting, you’ll see reference photos and notes from the original inspection on the left side of your screen, and can add or replace data on the right side.

  • Any information you don’t replace will carry over automatically into your new inspection.

This saves time on follow-up inspections and allows you to generate either a single updated condition report or a side-by-side comparison report.

I can’t see my templates and updates on the app! What should I do?

Don’t worry - this usually means your mobile app hasn’t synced with your Imfuna cloud account yet.

  1. Open the app and go to Settings (on the opening screen).

  2. Tap Sync to pull the latest templates and updates down to your device.

Tip: The app automatically syncs data up to the cloud, but you need to sync down manually to see new templates or changes.

Why does the app ask me for a ‘Inspection Name’ for my inspection?

The inspection name is used internally to help you identify and locate inspections later - it will not appear on the final report.

For easy tracking, we recommend using this format:
Date - Inspection Type - Inspector’s Initials
(e.g., 01-08-2025 – Check-In – AB)

My app is running slow – what’s going on?

A slow app usually means your device storage is full. Photos, audio notes, and inspections stored on your device can quickly use up space.

To fix this:

  • Clear out completed inspections after they’ve been verified on the web.

  • Ensure your device has enough free storage (delete unused apps or files if needed).

  • The app will alert you with a pop‑up when your device is near capacity.

Regularly managing storage will keep the app running smoothly.

My inspection won’t fully upload – what should I check?

Work through these in order:

  • Check the device has a stable internet connection - wifi is best for large inspections.

  • On the Inspection List, make sure Auto Send is ON, keep the app open, and watch the progress for a few minutes.

  • Swipe left on the stuck inspection and tap Resend.

  • Close and reopen the app, check for an app update, and make sure the device has free storage.

If it still won’t move, contact support with the inspection name and any status code shown on the progress indicator - that code tells us exactly where it stopped.

Will I lose inspections if I uninstall or switch the app?

Uninstalling the app permanently deletes any inspections that haven’t been uploaded to the web. Before uninstalling (or switching devices):

  • Keep Auto Send turned on, so inspections upload automatically whenever you’re connected.

  • Check the Inspections List for anything still marked as pending upload, and upload it over wifi.

  • Log in to the web platform and confirm every inspection appears under your account.

Once everything is confirmed on the web, it’s safe to uninstall - your data lives in your account, not on the device.

How do I use a Ricoh Theta™ 360° camera with Imfuna?

Any current Ricoh Theta™ model works (older models aren’t supported). Pairing is a one-time wizard in the app:

  1. Turn on your phone or tablet’s wifi.

  2. Find the serial number on the base of the camera, and power the camera on.

  3. Turn on the camera’s wifi and tap Connect - the two devices link directly over wifi.

Once connected, the app shows the camera’s model, storage and battery, and a Take 360° Photo option appears wherever the camera option is available in your inspection. Use the camera storage screen to import photos into the inspection or clear them off the Theta. The app remembers previously used cameras, so reconnecting takes seconds.

Why does my upload pause while the 360° camera is connected?

While your device is connected to the Ricoh Theta™’s wifi, it usually has no internet connection - the wifi link goes to the camera instead. That’s normal.

When you’ve finished taking 360° photos, disconnect the camera in the app. Your device rejoins the internet and the inspection carries on uploading from where it left off.

Which 360° cameras work with Imfuna?

Imfuna supports the Ricoh Theta™ 360° camera only - any current Ricoh Theta™ model (older models aren’t supported). The integration is built natively into the app: pairing, capture, storage management and the pan-and-zoom report viewer all work out of the box.

Other 360° cameras are not supported.

Which Imfuna app should I download from the App Store or Play Store?

Each Imfuna edition has its own app: Imfuna Let and Imfuna Rent for lettings and property management, Imfuna Surveyor and Imfuna Home Inspector for surveying and home inspection, and Imfuna Construction Inspector for construction and site work.

Download the edition your account was created in - your login works in its matching app and web platform, and data doesn’t transfer between editions. If you’re not sure which edition your firm uses, check which sign-in page you use on the web, or ask support before installing.

Is there a desktop or laptop version of the Imfuna app?

No - the app runs on phones and tablets (iOS and Android). The desktop side of Imfuna is the web platform: log in from any browser to review inspections, manage templates and publish reports. There’s nothing to install on a computer, and the App Store / Play Store apps won’t install on laptops.

I can’t find the app in the App Store / Play Store in my country - what should I do?

The apps are published per country, so an edition may not be visible in every regional store yet. Email support@imfuna.com with the edition you need and the country your Apple or Google account is registered in - we can usually make it available quickly.

Note that the store shows apps based on the country your Apple/Google account is registered in, not where you happen to be standing.

I’ve got a new phone - how do I move Imfuna across?

First, upload anything still pending on the old device: check the Inspections List for anything not yet sent, and send it over wifi. Then install the app on the new device - switching between iPhone and Android is fine - and log in with the same email and password. Your templates and account data sync down, and past inspections can be pulled onto the new device with Fetch and Reinspect.

Inspections that were never uploaded exist only on the old device, so don’t wipe or reset it until everything shows on the web platform.

Can I add photos from my phone’s camera roll, and what date will they show?

Yes - photos can be imported from the device’s gallery into an inspection.

A photo taken with the in-app camera is stamped with the date, time and GPS location at the moment of capture. An imported photo keeps the original capture date and location stored in the photo’s own metadata; if the file carries no metadata (screenshots, or images sent through messaging apps, often don’t), the date it was added is used instead.

Can several people work on the same property?

Yes. Team members on the same account can inspect the same properties, each from their own device with their own login. Each individual inspection is captured on one device, and everyone sees it on the web platform once it uploads - so two colleagues can run different inspections on the same property at the same time, but a single inspection can’t be edited from two phones at once.

How do I change the photo quality in the app?

In the app’s Settings, choose the photo quality that suits the job: a leaner setting keeps uploads fast and data use low, while full quality gives zoomable close-up detail. Higher quality means larger files that take longer to upload, so many firms save full quality for the jobs where fine detail matters.

Editing inspections

Can I edit my data after I've created a report?

Absolutely. If you have any amendments received from the tenant or landlord, or just noticed a spelling mistake in your report PDF, you can edit your data, and create a new report. Imfuna will save both versions of this report for you to refer back to in the future.

Can I add other photos to my inspection, such as the stock marketing front-view shot of my property?

Yes - you can attach a photo to any item in your inspection data, and it will then behave just like any other photo collected using the Imfuna app in the field - although, it will not contain any of the Imfuna secure meta-data, date, time, and location stamps.

Why are some of my photos greyed out on the Preview Tab?

Photos in full colour will appear in your inspection; photos that are greyed out will not appear in the body of the report, but will be shown in the Photo Index if you have included one. Click on any photo on the Preview page to re-order photos by dragging and dropping them.

How do I create a comparison report?

When reviewing your inspection on the Preview tab, select a Comparison Report layout type from the dropdown menu on the left of the screen. Then select which inspection you wish to compare it against in the new dropdown menu that will display.

I took a photo in the wrong room – what should I do?

Drag and drop photos from any room or item on the Verify tab to wherever you need it.

Can I isolate ‘Flagged’ items (items needing attention) in my report?

Of course! Once you have created your Report from the Preview tab, you will be able to create a PDF of only Flagged items. See the option button below the summary of Flagged items on the right of the Reports tab.

Can a report be edited after it’s been published?

No - and that’s deliberate. A published PDF is a fixed, read-only artefact: it never silently changes, even if you later edit your report layouts or custom records.

If you spot an error after publishing, correct the underlying inspection data and publish a fresh PDF. The corrected report sits alongside the original, so the record always shows what was issued and when.

Transcriptions

Why can't I see my transcriptions?

Transcription runs after your dictations reach your Imfuna cloud account, and can take 1 to 6 hours to complete. We will send you an email notifying you when they're done. You can work on the inspection Verify tab while transcription is being processed.

Why do my transcriptions have brackets?

When a word or phrase cannot be made out with confidence, the transcription marks a best guess [in brackets]. Where a word is cut-off or inaudible entirely, it is marked [??]. You have the ability on the web platform to search for all files containing brackets to conveniently edit them all at once.

Personalising inspections

How do I add my own branding to my reports?

Simple! Go to your Account Management link and select the ‘Report Layout’ tab. You can have multiple layouts, both for single and comparison reports. Click ‘edit’, and go head and add your own logo, brand colours, and other individual layout choices.

The app only has a 1 Bedroom template – what if I have a 4 Bedroom property to inspect?

You can set up as many templates as you want, or you can add additional rooms and items on the fly straight from the app.

How do I create my own templates?

Create a template direct from an existing inspection by clicking the link at the foot of the left hand panel on the Verify Data page.
Alternatively, go to your Account Management page and select the Inspection Layouts tab. You can copy a template to add to, create a whole new template from scratch, or even upload a template as a spreadsheet. Click the ‘Import From Spreadsheet’ button for guidelines.

How do I add my own terms to Trades and Types drop-down menus?

To add new trades to different items, go to Account Management > Inspection Layouts > Define Trades.

Can I include a glossary of terms in my reports?

You can include any supporting notes you need – either at the start or at the end of the report. Go to Account Management > Report Layouts and edit any layout to add and format notes. You can have as many different layouts as you need, for different notes pertaining to Check Ins, Check Outs, or any other kind of inspection.

Can I change the terms on the Condition Slider (New, Used, Worn, Damaged)?

Yes – navigate to Account Management > Inspection Layouts > Define Condition Slider. You can rename condition labels as required, and even limit the number of options to less than 4 if needed.

Can I move an existing inspection to a different inspection layout?

Not directly - an inspection stays tied to the layout it was created from. Depending on what you’re after:

  • Different report style, same data: pick a different report layout at Preview Report. Any report layout linked to the inspection’s layout (via Report Settings > Report Builder) appears in the picker.

  • Different sections or records: create a new inspection from the layout you need and copy the content across.

Reports you’ve already created are never affected by later layout changes - each PDF keeps a snapshot of the layout it was built with.

Subscription & billing

Can my business have a free trial?

Yes - every new Imfuna account starts with a 14-day free trial with full access, no credit card required. We encourage you to run a realistic inspection during the trial, so you judge Imfuna on your own workflow.

I set up an account, but didn’t use my free trial. What should I do?

No problem! Drop us an email at support@imfuna.com and we will review your account to apply an extension.

How much does the app cost to download?

Zero - the app is free to download from the Apple App Store or Google Play Store, and your free trial gives access to all features and settings. What you pay for is your Imfuna plan; current plans and bolt-ons are on the pricing pages.

How is Imfuna priced?

Fixed monthly or annual plans: by property allowance for lettings and property management, and per seat for surveying. Optional bolt-ons - the dashboards, AI Speech-to-Text and custom template builds - are priced separately. Full details are on the pricing pages, and annual billing saves 15%.

How often can I change my subscription?

Whenever you need to – we recognise that the industry can be seasonal. You can increase or decrease your subscription at any time – any changes will apply to the following month’s charges.

What is ‘data processing’ on my subscription page?

Accounts on our older usage-based subscriptions are billed by data processing: photos, voice recordings, attachments and PDFs all contribute to usage, which covers storage while you are an active user. Accounts on current plans pay the fixed plan price instead - your Subscription page shows which applies to you, or ask support.

Is there a monthly service fee?

On usage-based subscriptions, a £5.00 monthly service fee applies alongside data processing and any transcription usage, and Pay-As-You-Go carries a £1.00 minimum data processing fee per inspection. Current fixed plans have no separate service fee - the plan price is the price.

What is ‘auto-transcription’?

An optional service that turns your dictation into text after it reaches your Imfuna cloud account, typically within 1 to 6 hours. You can also transcribe your own dictation if you prefer - ask support to set your account up that way.

How do I sign up?

Converting from your free trial to a subscription is easy: choose your plan on your subscription page (Account Management > Subscription tab) and enter your payment details. For annual billing, Enterprise agreements or anything unusual, contact sales@imfuna.com.

What happens if I go over my plan’s allowances?

Nothing stops working. On current plans, exceeding your property allowance adds a small per-property fee to your next bill - for example 24p per property on Professional and 20p on Business. On usage-based subscriptions, overage is settled at your monthly renewal date, and the Subscription Info panel shows your usage throughout.

How does Pay-As-You-Go work?

Pay-As-You-Go is available on usage-based subscriptions for infrequent inspection work: when an inspection reaches the web, its data processing size and price appear next to it, and you pay to unlock it - including any transcription, which starts once paid for. If you inspect regularly, a fixed plan is better value.

How do I cancel my subscription?

There is a cancel button on your Subscription page, and you keep access to anything already paid for. Your data remains accessible for up to 90 days from cancellation; if you need longer, a data-holding plan is available for £6/month via support.

What if I don’t have a company credit/debit card?

Please contact us at support@imfuna.com to make other arrangements.

Users & account

How do I add a user to my account?

In the web platform, go to Account Management > Manage Users and expand the Enterprise Structure. Click the plus sign next to the role the new user should have, enter their email address, and save.

They’ll receive an email with their login details and a link to set their own password. Pick the role carefully - it determines what they can see and do.

What are roles, and how do permissions work?

Every user belongs to a role in your corporate structure - the defaults are Admin, Manager and Inspector, and you can create your own to mirror your organisation.

Each role has its own set of permissions: open Account Management > Manage Users, click a role, and tick or untick permissions in the Permissions Manager. Changes apply to everyone in that role, so access stays consistent as the team grows.

How do I remove a user from my account?

Go to Account Management > Manage Users, find the user in your corporate structure, and remove them. Their past inspections and reports stay safely in your account - removing a user never deletes the work they produced.

How do I change my password?

Log in to the web platform, open Account Management, and choose Change Password under Global Settings. Enter the new password twice and save.

I’ve forgotten my password - how do I reset it?

On the login page, click “Forgot Password?” and enter the email address on your account. You’ll receive a reset link by email - follow it to set a new password, then log in as normal.

If the email doesn’t arrive, check your spam folder or contact support.

Do the mobile app and the web platform use the same login?

Yes - one Imfuna account works everywhere. The email and password you use in the mobile app also sign you in to the web platform, and the other way round. If one works and the other doesn’t, reset your password once and try again, or contact support.

How do I change the email address I log in with?

Contact support@imfuna.com to change the email address on your account. Once it’s changed, upload any pending inspections, then sign out of the app (open More and choose sign out) and sign back in with the new address.

There’s no need to uninstall the app - and don’t: uninstalling deletes anything on the device that hasn’t been uploaded.

Notes & dictation

Four ways to get an observation recorded - pick the one that fits the moment.

Voice notes, transcribed for you

Tap the microphone, speak the observation, tap again to stop. The recording uploads with the inspection and comes back as finished text in the exact section where you recorded it, with an email to tell you when it's done.

Rapid Text

A library of fixed, ready-to-insert phrases for the observations you make twenty times a day. Tap once and the phrase drops in - no typing, identical wording on every report. Admins build the library (import it from a spreadsheet) and tag phrases by area so the right ones surface fast.

“No visible issues.” “Wear consistent with normal use.” “Immediate attention required.”

Standard Notes

Pre-written sentences with editable blanks - the structure stays fixed, you fill in the detail that changes. They keep team reports in one consistent voice while still fitting each property.

Note Groups

Cluster related observations under one heading - every window fault, every fire-safety item - so a scattered set of notes reads as one organised finding when the report is reviewed.

Clone inspections, rooms and items

Never start from scratch when the work repeats. Clone a whole inspection for a follow-up visit - choosing what carries over: photos, notes, costs, drawings, signatures - or clone a room or item when a building has six similar bedrooms. Rename the copy and adjust what differs.

Flags

A flag marks anything that needs action after the visit - on a note, a photo or a whole item. Flag the damp patch that needs a moisture reading, the repair to query with the client, the defect that needs a specialist. Flagged items stand out in the report, can be published as their own PDF, and drive the maintenance workflow.

360° photos with a Ricoh Theta™ camera

Pair the app with any current Ricoh Theta™ 360° camera and capture every surface of a room in a single shot. A one-time connection wizard links the two devices over wifi; after that, a “Take 360° Photo” option appears wherever the camera does, with the Theta’s model, storage and battery shown in the app. Recipients explore 360° photos in the published report with full pan and zoom.

The Ricoh Theta™ is the supported 360° camera - the integration is native, so pairing, capture and the report viewer work out of the box.

Running the operation on the web

The web platform is mission control: every inspection, booking and user in one place.

The property dashboard

Every property and inspection, filtered by where it sits in the lifecycle: still on a device, uploading, uploaded and ready to verify, transcribing, missing a report, awaiting signature. A card view for scanning, and a table view with a column chooser, date filters, per-inspector filtering and spreadsheet export for running the numbers.

Following up is one click: “Pending mobile completion” lists exactly which inspections are still waiting for someone to press Send.

The Dashboard bolt-ons

Two optional bolt-ons add a portfolio-level layer on top, whatever industry you inspect in: the Compliance Dashboard puts every property's recurring inspections, compliance register and prompts on one screen, and the Portfolio Dashboard turns every flagged issue across every inspection into one filterable, costed grid.

Plan the diary on the web: create a booking against a property, set date, time and duration, and assign an inspector - or leave it in the unassigned pool. With Auto Send on, inspections upload themselves whenever the device is connected. Everything on the web is yours to keep - the golden rule is simply to confirm an inspection has uploaded before uninstalling the app or switching devices, because work that only exists on a device stays on that device.

Maintenance flows to Fixflo

Connected to Fixflo, flagged findings become structured maintenance issues - photos, notes and inspection context attached - linked to the property and ready to assign. Works both ways: fetch a property with an open Fixflo issue, inspect it, and push the evidence back.

Before you go

Plan the visit

  • Check the address, and try to obtain floor plans, the number of rooms and any historical data before you set out.
  • Set the template up on your device in advance - it saves real time during the walk-through.
  • Bring a torch to light dark corners; it makes the difference for photo quality.
  • Note who attends the inspection - tenants, owners, contractors.
  • In low-signal areas, switch to airplane mode and inspect uninterrupted; the app syncs everything when you're back on wifi.

On site

Work systematically

  • Complete the inspection room by room, then common areas, meters and the exterior.
  • Follow the app's flow: room, then the items in it - walls, ceilings, floors - then the condition of each item.

Photograph to prove condition

  • Always start with a wide view to establish location and orientation, then move to detail.
  • Take multiple photos of rooms and specific items - and caption them from the phone as you go.
  • Focus on high-wear items: floors, countertops, painted walls, corners, tubs and showers.
  • Show contrast between worn and good condition, and use a hand, pencil or tape measure to establish scale.
  • Describe condition in objective language; the condition slider records new, used, worn or damaged.
  • If the unit is furnished, give the furniture the same treatment.

Flag what needs attention

  • Broken, damaged or dangerous items get a photo, a description and a maintenance flag.
  • Measure the extent of damage that will need work.
  • Note dirty, unwashed or poorly maintained surfaces and areas.

Cover the hidden corners

  • Photograph under sinks and inside closets, cabinets, drawers and shelves.
  • Pair each photo with a dictated note so the record shows what you meant it to show.

Test what should work

  • Light switches and electrical outlets.
  • Taps, faucets and drains - open and close them.
  • Appliances, heating and cooling - on and off.
  • Windows, drawer slides and cabinet doors.
  • Fire and smoke detectors.

Common areas, outside, meters

  • Check the lease to confirm responsibility for common areas, and label them as such in the app.
  • The exterior is part of the property - the app has areas designated for outside conditions.
  • Photograph each meter, note its serial number and condition, and log the readings.

Run the done checklist

  • Before leaving, confirm every room and area is documented - tapping "Done" in the app triggers a mini checklist to catch anything missed.

Review and annotate

  • Review your field observations as soon as they've uploaded, while the property is fresh in your mind.
  • Add clarifying notes, and attach documents that belong with the record - insurance certificates, warranties.

Share the report

  • Send reports to the relevant parties from the web - transparency establishes fair dealing.
  • Review comments entered by other parties and respond in the record, not in scattered email.

Use the history

  • Activity tracking notes every change in condition over time.
  • Compare features evaluate change between established dates - move-in against move-out.

Re-inspect on the same layout

  • Interim re-inspections load the exact layout you recorded first time - walk the same route, document what changed: storm damage, breakage, leaks.
